Giving Admin Privileges to Your Administrative Users

The Magnet System allows you to give as many or as few admin privileges to as many or as few staff, officers, board members, or volunteers as you would like.

The Magnet System allows you to give as many or as few admin privileges to as many or as few staff, officers, board members, or volunteers as you would like. There are no functional limitations--it's really up to you in terms of how you would like to divide up responsibilities among your team.

You do this via Manage Users:

1. Go to the Manage Users admin menu   ==>

2. find the person you'd like to give one or more admin privileges to   ==>

3. select Edit Account Info for that person from the "Select Action" drop-down menu   ==>

4. scroll down to "Edit User's Permissions" section   ==>

5. check the boxes for the admin privileges you would like to give that person    ==>

6. click the "Modify Permissions" button

And you're done. By the way, once a person has at least one admin privilege, they will also have access to the Magnet.Help knowledgebase of training and support articles and videos; this will be the bottom-most menu item on the admin menu.

Important Note: We recommend that only Head Administrators be given the "Manage Users" capability. That particular admin privilage could be very damaging in untrained hands, as it deals directly with your data. 



One question we get asked a lot is how this is different from "Head Administrator" (HA) status.

Background info on HAs:
The 2 "things" that only an HA can do are:

1. Use the Support Tracker
2. Communicate with us -- especially to authorize us to perform any work and/or make any changes to the Client's Website or account (this is both for our sanity and your control.)

Note that an HA is also responsible for 2 other things:

1. Being the first line of defense for any questions/issues that your other other admins or users might have.....and then escalating up to us via Support Tracker anything that they (the HA) can't handle. We'll then work with the HA to resolve the issue, and they will communicate/deliver the solution back to the person(s) originally involved.

2. Ensuring that whenever new admin privileges are given out to additional staff/volunteers/officers, these new people go through the relevant training videos and articles for the privilege(s) they have been given.

It's important that you be strict on this particular point--we put a lot of features and capabilities into your hands, but if someone hasn't gone through the training and starts to use your site's admin controls, it's possible for them to do damage to your site and/or your user data and/or your transaction data. It's entirely within your power to minimize the likelihood of these kinds of problems, but you have to be strict about requiring your admin users to go through the appropriate training.

In Summary

1. You can have as many "system admins" as you would like. These are people who have one or more admin privileges on your website.

2. There are only two (2) Head Administrators, and these two people people--per your Master Service Agreement with us--are our key contacts with your organization. It's ok if these people change over time. Just notify us of that in writing via your site's Support Tracker.
