Issuing a refund or canceling a transaction on The Magnet

What do I do when I want to refund or cancel a transaction? There are two possible situations--one case where this happens the same day as the transaction and the other where it happens sometime after the day of the original transaction.

In the case where the transaction to be cancelled/refunded is the same day as the original transaction, this is a 2-step process:

  1. Log into your credit card gateway account and VOID the transaction. This is different from doing a refund. If you are able to catch the transaction on your gateway account before your gateway settles and batches your transactions for the day, then you can VOID the transaction. It will be as though the transaction never took place.
  2. Then go back to your Magnet system and delete this transaction. (Important note: the process of deleting a transaction on a Magnet system does not cancel the transaction with your gateway or otherwise refund your customer's money; this can only be done via your credit card gateway account.)
  3. If this is a membership transaction, you will need to go into that person's record and manually update their membership expiration date, etc. to whatever the now-correct values should be. If this is an event transaction, you'll also need to go to Manage Events, click the View link for the event for which the tickets were purchased, and then delete the RSVP(s) for that person's purchases.

In the case where your transaction to be refunded happened more than a day ago, it's still a 2-step process:

  1. Log into your gateway account and REFUND the transaction.
  2. Same as above. One separate note here: you will likely want to keep a separate list (perhaps in an excel sheet) of refunded transactions so that your treasurer or accountant will be able to more easily reconcile these refunded transactions since--after the deletion on your Magnet system--you will no longer have access online to these transactions.
  3. Same as above
